Who we are

babyfriendly.ca is run by the Quintessence Foundation, a registered Canadian charity (charitable number 89941 1425 RR0001), Suite 501 – 4481 West 10th Ave., Vancouver, B.C. V6R 4R8. We are responsible for the personal information described here. Questions go to info@babyfriendly.ca.

What we collect, and why

If you organize a site

• Your name and email address, and a password (stored only as a one-way hash) if you use one. If you sign in with Google, Microsoft or Apple, we receive your email address from that service and never see its password. If you use a passkey, we keep only its public key, which cannot be used to sign in on its own.
• When you last signed in and how, so we can help if you get locked out.
• The details of your site: its name, description, date and time, and its location. The site's name, description, date, time and location are shown publicly on Find a site, so families can come.
• Your Challenge results, and any photos you upload. Photos are stored privately and are only shown on the site after the Foundation has approved them. Photos often show the families who took part, so please only upload photos of people who have agreed to be shown.
• Which kinds of email from us you have chosen to receive.

If you organized a Challenge before this site existed

• We keep the records of earlier Challenges, brought over from our previous website: each site's name and place, its results, and the contact name, email address and phone number recorded for it at the time. We use them to keep the Challenge's history, and to let returning organizers find and claim their past sites.

If you RSVP to a site

• Your name, your email address, and a phone number if you choose to give one. These are shared with that site's organizer so they can reach you about the event, and with the Foundation. Organizers are volunteers who run their own events. Once they have your details, they hold them themselves, and should use them only for the event.

If you contact us or an organizer

• Your name, email address and message. Messages to an organizer are passed on to them; your address is used as the reply-to so they can answer you directly.

About the email we send

• Whether an email we sent was delivered or bounced, so we stop writing to addresses that no longer work.

What we don't do

• We do not sell or rent personal information.
• We do not use it for advertising.
• We do not use advertising or cross-site tracking cookies. The cookies we set ourselves are only the ones needed to sign you in and keep you signed in. Google reCAPTCHA, on our public forms, sets its own cookies, and Vercel counts page views and measures how quickly pages load, without cookies (see below).

Who else handles it

We use a small number of service providers to run the site. They handle personal information only to provide their service to us:

• Vercel hosts the website and stores uploaded photos. Like any web host, it keeps standard request logs, which include IP addresses. Its Speed Insights service also measures how quickly each page loads in visitors' browsers, so we can find slow pages, and Vercel Analytics counts page views, without cookies. The page address either one reports has anything after the “?” removed, so the email address and codes in the links we email you are never included.
• Neon hosts the database the site's information is kept in.
• Resend delivers the email the site sends.
• Emailable checks whether the email addresses on our mailing lists still work, so we don't keep writing to addresses that bounce.
• Google reCAPTCHA checks that public forms are filled in by people rather than automated programs. It is covered by Google's own privacy policy.
• Google, Microsoft and Apple, only if you choose to sign in with one of them.

Some of these providers store or process information outside Canada, including in the United States, where it may be subject to the laws of that country.

How long we keep it

We keep organizer accounts and site records for as long as they are needed to run the Challenge, and to keep its history — organizers often return year after year, and past results are part of the Challenge's record. RSVP details are kept for as long as the site they belong to. You can ask us to delete your information at any time.

Your choices and rights

You can ask to see the personal information we hold about you, to correct it, or to delete it, by writing to info@babyfriendly.ca. You can stop receiving our mailings at any time from the unsubscribe link in any of them, or from your email preferences when signed in. Messages about a site you organize or an RSVP you made are still sent, because they are about that event.

If you live outside Canada, the privacy law where you live (for example the GDPR in the European Union) may give you further rights. Write to us and we will work with you on them.

If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.

Changes to this notice

When we change what we collect or who handles it, we update this page. It was last updated in October 2026.
